Device Inventory

The device inventory (Devices→Inventory) lists all registered devices and allows various operations on them. Any device that is to interact with the system must be registered in the inventory.

Device List

The device list lists all the devices registered in the organisation. The columns display a summary of device parameters and status.

You can enable and disable columns from the drop-down box in the right corner of the header.

The columns enabled by default are:

ID

Identifier of the device. Clicking on the ID opens the device editor, described in Device Editor.

Owner

Name of the device owner.

Phone number

Phone number of the device if it has one.

Icon

Icon indicating the device platform (Android, iOS, Windows, etc).

Model

Name of the device model.

DM

Indicates whether device management is enabled for the device.

Groups

Device groups to which the device belongs. The groups are defined in Devices→Groups, as described in Device Groups.

Clicking on a device row (elsewhere than the ID field) selects the device. You can select multiple devices by holding the Ctrl key while clicking, or the Shift key to select a range.

You can filter the list as described in Filtering the Device List.

Note

Changes that are made by another user or a background process are not immediately shown in the inventory list. To see such changes, you need to refresh the inventory view by reselecting the Devices→Inventory section in the main menu.


Warning

Devices that are displayed in red colour are missing some mandatory values. Such mandatory values should be defined before device is controlled with device management.

Basic Operations

Let us first go through the basic tasks for managing devices: registering, editing, and removing devices.

You can register new devices in the following ways:

  • Register a new device, as described below
  • Register a new user account and a device at once, as described below
  • Import new users and their devices at once, as described in Import Accounts.

Registering a New User and a Device

The first New button is a shortcut to register both a user and a device both at once.

It works exactly the same as Accounts→Users→New (User & Device), New User and a Device.

Registering a New Device

Registering a new device requires that the user is already registered in the system. You cannot register a device without an owner. There also must be a template for the device platform in question.

  1. To register a new device, click the second New button (the one with just a device icon) in the toolbar
  2. If there is more than one device template available, you should see a device template selection dialog.

    Note

    In cases where there is only one template available, this dialog is not shown and the only template available is automatically selected.

    1. Select a template from the list
    2. Click Select to confirm the selection
  3. An owner selection dialog opens. Select the owner and click Select
  4. You typically need to fill at least:
    1. Phone number (optional, but practically necessary for phones)
    2. Group membership (optional)
  5. Make any other device settings, as described in Device Editor
  6. Click Save & close to save the settings and exit the editor

Editing a Device

You can edit the configuration for a previously registered device or multiple devices.

To edit an already existing device:

  1. Either:
    1. Select the device in the list and click Edit in the toolbar or
    2. Right-click on the device to open the context menu and select Edit.
  2. The Edit Device pop-up window opens.
  3. See the Device Editor for a detailed description of the settings.
  4. Finally, click either Save & close to save the settings and exit, or Cancel to exit without saving.

 

Warning

While it is possible to change the model and brand afterwards, backups and similar information could be lost because of incompatibilities between the old model and the new one. Therefore it is adviced that you create a new device in such a situation.

Editing Multiple Devices

You can also edit multiple devices:

  1. Select them in the device list
  2. Clicking Edit in the toolbar (you cannot use the context menu for this purpose).
  3. The device editor opens.
    In this case, every parameter will have a checkbox on the right. To change a particular value for all the devices, first check the corresponding checkbox.
  4. Make the settings as described in Device Editor

 

Warning

Use multi-device editing with caution. If you edit multiple devices with wrong values, you can easily end up in situation where you can receive many help desk contacts from users who have invalid values in their phones.

Removing Devices

Removing a device removes it from the service, disabling device management and synchronisation, and removing all information about the device.

Removing does not affect device content. If you need to wipe the device, you need to do that before removing it.

To remove one or more devices from the system:

  1. Either:
    1. Select the device or devices in the list and click Remove in the toolbar or
    2. Right-click on the device to open the context menu and select Remove. (You cannot use this for multiple devices.)
  2. A Remove device window opens. Review it carefully to ensure that you are removing the device or devices intentionally.
  3. Have Remove settings from device selected if you want to make a final request to the device to disable contacting the EMM service. Otherwise, the device will simply be unable to contact the service and the settings will be left in the device. The setting is automatically checked if device management (DM) is enabled for the device. The setting is disabled if device management has been disabled for the device earlier, as it is not possible to contact the device to remove the settings.

    Note

    If you want to be absolutely sure that all settings related to the EMM service are removed from the device, use Wipe device to factory settings immediate task instead. Normal decommission (using the Remove settings from device option) will only disable settings that it is capable of. For example, removing settings does not remove system-related access points.
  4. Click Remove to remove the device or Cancel to exit without removing

Execute on selected devices...

The Execute on selected devices button launches the device control window. Notice that if device management (DM) is disabled for the device, device management operations are not visible in the window. Only operations possible for all selected devices are visible.

Execute on all devices

Executes certain commands on all visible devices in the inventory. That means that the current filter applies and the commands are not executed on devices that are filtered out.

The selection of commands is restricted to what you can do for individual or multiple selected devices.

Diagnostics

The diagnostics window displays detailed technical information about a device, including status information. The device owners are able to view the same diagnostic information for their own devices in the self-service portal.

  1. Either:
    1. Select the device in the list and click Diagnostics in the toolbar. (The button is disabled if you have more than one device selected – you can only inpect diagnostics for one device at a time.)
    2. Right-click on the device to open the context menu and select Diagnostic information. Notice that opening the context menu also selects the clicked item.

  3. Click Close to exit the diagnostics window

Task queue

The task queue displays the pending and completed tasks for a device. To open it, select a device and click Task queue. You can select multiple devices, in which case a separate queue window is opened for each consequtively.

Reports

The Reports button allows generating and viewing various reports about devices, and exporting them as either CSV or Excel files.

This is a shortcut to the reports that you can generate in Reports→Devices, which has some additional report types. See Device Reports for its complete description of the different types of reports.

More

Click the More button in the toolbar for a number of additional operations on devices.

Export

Exports a summary of all devices as either a CVS or an Excel file (95, 97, 2000, not XML-based XLSX). The current filter applies to the exported devices.

  1. Select devices which to export. If you have none selected, all devices will be filtered
  2. Select More→Export
  3. The File format dialog opens
  4. Select either CSV or Microsoft Excel
    1. For CSV, select the Separator, Quote character, and Character set
    2. For Excel, you do not need additional settings
  5. Click Download to download the export file
  6. Click Close to exit the window

Track

Selecting one or more devices and then More→Track opens a window to track events for the selected devices in real time. You can keep the window open and continue using the portal, and also events sent from the portal to the device are displayed.

You can set the Interval for refreshing the display. Using a short interval makes the browser more busy.

The view does not display past events. For past events, you can view the device event log. The event log can show much the same information as the track window, but does not refresh automatically.

Click the close button (×) in the upper-right corner of the window to close it.

Location

Reports the current and past geographical locations of the device.

EAS credential change tool

You can use this tool to change the EAS credentials of many already provisioned devices. The credentials are uploaded in an Excel document. See Mass change EAS credentials of devices.

Filter

The Filter button allows you to define an advanced filter for the device list. See Filtering the Device List for more details.

Clear filter

The Clear filter button allows you to clear any current filtering for the device list. See Filtering the Device List for more details.

Quick search

The Quick search input field allows to make a quick text search in the device list and only shows the devices that match the search parameter. See Filtering the Device List for more details.

Licenses

The number of active devices is limited by the number of licenses, which can be found at the bottom left section of the working area.

The Active devices field shows how many licenses are currently active out of the total number of usable licenses. When all active licenses are in use, you cannot activate any more devices. You can disable or remove unused devices to free licenses. To get more licenses, you need to contact the master/vendor.
